Special Collections

The purpose of this policy is to ensure that access to Special Collections is available to alumni and members of the Bryant Community in a controlled environment. Materials in this collection can be fragile and are not replaceable. It is the role of the library to ensure that these items are available and preserved for both present and future users.

Policies And Procedures

Any member of the Bryant Community wishing to access an item from Special Collections should make an appointment with the Reference Librarian at 401-232-6299.

Special Collections Use

Access to Special Collections materials are limited to Bryant trustees and library users possessing a Bryant ID or a Bryant Alumni Card. If the Reference Librarian is unavailable and/or there is an immediate need for Special Collections materials by a member of the Bryant Community, Reference Staff should attempt to retrieve the desired material. If the requestor is present, Reference Staff should ask the requestor to remain at the Reference Desk while the requested item/information is retrieved. The Special Collections are housed in "library staff only" areas and are not available for general browsing. Some collections may be inaccessible during off hours as they are located in the Unistructure. Special Collections items are generally library use only.

In-house use of Special Collections materials requires a Bryant ID or Alumni Card. If a Bryant Alumnus/a does not have an Alumni Card, they should be referred to the Alumni Office. If the Alumni Office is closed at the time of the request, efforts should be made to verify that the requestor is a member of the Bryant Community. The latest edition of the Bryant University Alumni Directory is available in Ready Reference (REF.LD.649.8 .A125) and may be of some assistance if further identification is needed. Please note that this directory is not a comprehensive listing of all Bryant Alumni.

Once desired items are obtained from Special Collections users should be advised to handle all items carefully, especially if items will be photographed, photocopied, or scanned. Some images are available on the library's Website, and further photographing and scanning should be discouraged. Users should also be asked to use Special Collections items within view of the Service Desks.

Special Collections Borrowing (limited)

On occasion, Bryant University campus departments have a need to borrow/use items outside of the library. Information on items borrowed and the borrower/department should be recorded on an "Items Borrowed" form. A physical description maybe necessary if no barcode is present on the item(s). If a barcode is present the item can be checked out via the HELIN system (a system override will be necessary). A two week to one month loan period is allowable. "Items Borrowed" forms should be routed to the Reference Department and an e-mail message regarding the particulars of the transaction should be sent to refdesk@bryant.edu.

Special Collection Returns

Items on loan from Special Collections should be returned to Reference. If the Reference Librarian is unavailable, items should be left with a library staff member. An e-mail message to Reference refdesk@bryant.edu notifying them of the returned items should also be sent. Items that are barcoded need to be checked in via the HELIN system.

 


Related Policies

Special Collections at Bryant consists of the following materials: items relating to Bryant's institutional history (yearbooks, University publications, Bryant memorabilia, etc.), first editions, autographed copies, and business education history. Art and realia are also part of Bryant's Special Collections. These collections are set apart from the publicly available collections because of their uniqueness, rarity, or because some items are fragile.
